Quick guide
Getting started with Vehtra
A quick walk-through of how Vehtra works — from setting yourself up to sending your first inspection report. It only takes a few minutes to get going.
1. Set up your profile
User → SignatureAdd your signature first — you'll need it before you can complete an inspection, and it appears on the finished report.
2. Set up your organisation
Organisation → ManagementAdd your organisation details and upload your logo. Your logo appears at the top of every inspection report.
3. Add your customers
Organisation → CustomersCreate a record for each operator or company you carry out inspections for.
4. Add their vehicles
Organisation → VehiclesAdd the vehicles you inspect and link each one to its customer.
5. Carry out an inspection
Organisation → InspectionsStart an inspection against a vehicle and record your checks, brake tests, tyre data and any repairs.
6. Generate and share the report
Organisation → InspectionsProduce a PDF report and email it to your customer. They can also view their inspection history in the customer portal.
More you can do
Record a brake test on its own
Vehicle → Brake testsFill in the readings or upload the RBT printout, then send the report to your customer.
Log repair work on a job card
Vehicle → Job cardsRecord the jobs, labour and parts, and email the customer a job card — with a re-torque reminder when wheels were removed.
Add your own checks
Organisation → Management → Inspection ChecksOwners and admins can add checks that appear on every inspection, alongside the DVSA list.
